LegalPrivacy Policy
Last updated: October 2026
This Privacy Policy explains what data Arkoris ("the Bot", "we", "us") collects, how it's used, and your rights regarding that data.
1. What We Store
To provide bot functionality, the Bot stores:
- Discord server (guild) IDs
- Discord user IDs of members who interact with the Bot
- Discord role IDs and channel IDs used in your server's configuration
- Command settings, module configurations, and feature toggles
- Credit balances, hype points, pet data, and similar gameplay state
- Ticket transcripts (the messages of a ticket channel, saved when a ticket is closed if your server has transcripts switched on for that ticket type, or when staff press Transcript) and staff records you create through the Bot
- Payment confirmation records (transaction IDs and amounts — no card data)
- Premium branding settings (brand name, embed color, logo URL, footer text) for servers that have customized appearance
- Cluster population configuration (game, platform, cluster name) for /pop
Two kinds of data are processed in real time and are not stored, apart from what is listed above:
- Message content (Discord's Message Content intent) is read only to power features your server turns on: the link filter and opt-in auto-moderation (when a message breaks a rule, only the warning reason and case are stored, not the message), ticket features (transcripts, store redemption codes pasted into a ticket, and the optional AI support assistant described in section 4), the optional message log of deleted and edited messages (the text is posted to the log channel your server chose, and we do not store it), server-configured prefix commands, chat mini-game answers, and the bot owner's admin commands. XP and server statistics only count messages; they never read or keep the text. Message text is processed in memory and discarded. Apart from the log channel a server chooses for its message log, which lives on Discord and not with us, the only place it is saved is a ticket transcript
- Member events (Discord's Server Members intent) are processed to deliver welcome messages, auto-roles, invite rewards, boost rewards, name and server-tag rewards (we store only the matched keyword or tag, the member's user ID and the reward granted, not the full display name), and the audit logs your server configures. The Bot does not store member lists and does not request presence (online status) data. When staff run a bulk action, for example giving a role to everyone, the member list is read in memory for that action only
2. Payment Processing
All payments are processed by PayPal or Stripe. We do not store or have access to your card details, payment-provider credentials, or bank information. Their own privacy statements (PayPal · Stripe) govern how they handle that data.
3. How Your Data is Used
Data stored by the Bot is used only to:
- Provide the features you configure in your server
- Confirm and renew active subscriptions
- Maintain logs your staff use for moderation and payouts
- Diagnose and fix bugs in the Bot
4. We Do Not Sell Your Data
We do not sell, rent, or share user data with advertisers or third-party marketers. Data is shared only with infrastructure providers (e.g. hosting, database) strictly to operate the Bot, and with Anthropic for the optional AI features described below.
AI support assistant. If your server turns on the AI ticket assistant, the text of that ticket (the opening answers and up to the last 30 messages, each trimmed to 1,500 characters) is sent to Anthropic's API so it can write a reply. The Arkoris support server also has an AI answer channel that sends the question asked and up to 13 earlier messages from that channel, each with the sender's display name, the same way. We do not store these AI conversations (only a counter of how many replies a ticket has had) and we do not use Discord message content to train AI models. Anthropic's privacy policy governs how it handles the data it receives. Servers that do not turn the assistant on send nothing to Anthropic.
5. Data Retention
Data is retained while the Bot is active in your server. If the Bot is removed from a server, configuration data for that server may be retained for a reasonable period to allow reinstallation, and is then deleted.
6. Data Deletion Requests
You can request deletion of your data at any time. Contact us through the support Discord or email [email protected] with your Discord user ID or server ID.
7. Security
We take reasonable technical measures to protect stored data. No internet service is 100% secure, however, and you use the Bot at your own risk.
8. Children's Privacy
The Bot is not intended for users under the age required by Discord's Terms of Service. We do not knowingly collect data from anyone below that age.
9. Changes to This Policy
This Policy may be updated as the Bot evolves. Material changes will be announced in the support Discord.
10. Contact
